Events are key to attracting visitors to North Yorkshire and our event pages are one of the most popular sections of the Visit North Yorkshire website.

By adding your events to our website you don't just add them to one of Yorkshire's primary event listing services, you make them available to our marketing team to use when creating content, writing social media posts and planning press and influencer itineraries.  You also make your event available to the wider internet through search engines and AI tools, as those platforms treat our website as a reliable and authoritative source for events information.

Event loading for small businesses/voluntary event organisers

The main way for you to add events is very simple and uses our events form.

Before you click through to the form, please think about the below which will help you create a strong event listing that will appeal to, and attract, visitors.

• A clear simple title
• Descriptive text - We recommend you include over 100 words, to help with that consider the following points:
  1. 1. 1. Start with a simple summary of your event, and why it's great
        2. A description of what will be happening, either a summary of the performance[s], or for multifaceted events a description of everything that will be going on.  In short, what will it be like to attend your event
        3. A brief introduction of the venue, and why that adds to your event
• An image - Please note we will not accept posters or images with text.  Images should be landscape orientation (long side going left to right) so good images can include
  1. 1. 1. A photograph of past or similar events
        2. A photo of the venue or event setting
        3. A photo of some of the produce/items/activities that might be available at your event

Event loading for major organisers, venues and festivals.

Depending on how you manage and market your events, and the nature of the event itself, there are 4 different ways we can get your event onto the website.

1 - Pulled directly from ticketing platforms

Our event management partner, DataThistle, can access and bring in events from a range of ticketing and event organising platforms such as TicketSource, SeeTickets, Ticketmaster, Spektrix and many more. This brings many events in automatically and right away, without organisers needing to load the event as a separate action.  Please note: at this time, we cannot access Eventbrite events, and they must be loaded via the form described below.

2 - Loaded via our event web form

You can load your event directly via our handy webform.  As well as loading new events, you can also use this form to submit amendments, images, and updates to events listed on our website, and we will receive those updates within 24–48 hours. This service is also provided by our event management partner, DataThistle. You can navigate directly to our webform by typing visitnorthyorkshire.com/yourevent into your address bar at any time.

3 - Loaded by attractions with a business login

Attractions with a business login to maintain their Business Profile on visitnorthyorkshire.com can directly add events by creating event listings in our system as long as that event is taking place at your business location.

This method is particularly suitable and recommended for attractions offering seasonal activities and exhibitions.

4 - Directly managed by Visit North Yorkshire

For annual events that are central to our places and their events calendar, we manage those listings directly. This includes agricultural shows, festivals and other flagship events that may not have the benefit of a marketing team but are part a place's identity.  By managing these event listings ourselves, we ensure the events are always live when people look for them, maintain search engine optimisation, and ensure visitors can find out about these prestigious events.  Only key established annual events are managed in this way, while we do all we can to update these listings, we welcome updates from the organisers to make these listings as informative as possible.

Festivals: while we will manage listings for many established festivals, we still rely on organisers to submit the events that make up a festival schedule, using one of the mechanisms outlined above.

EVENT FAQs

How far in advance should I add an event?

As soon as you can. If you know the dates, the location, and what your event will be, then get it loaded. We know for some events—such as garden fairs or live music—you might not have all the details at this point, but you can revise your event listing nearer the time to add further information once everything is confirmed.
For the best results, we recommend adding your event at least six weeks before it takes place.
Please note: we will not accept events that are taking place in less than seven days.

Why isn’t the image showing for my event?

If your event is showing on our website but the image is a generic photo with the VNY logo over it, that means either no image was available or the image was not suitable. You can provide a new image directly by going to our event webform and searching for your event using the same title as displayed on our site.

Why might an image not be suitable?

There are several reasons why we might not use an image:
• The image is a poster or contains only text
• The image is an unusable shape—the best image size is ~1200 x 800 pixels, roughly the shape of a postcard
• The image is too small

Why can’t I use my poster?

There are a few reasons why we will not use posters for event images:
• Posters are usually portrait; our website displays images in landscape
• Posters contain a lot of text that will not be readable or accessible
• Posters will not display well at smaller sizes, especially on mobile phones (over 70% of our users access the website on a mobile device)
• Our website displays images in different shapes across many pages, it’s important your image works if it is cropped in different ways and does not rely on the whole image being visible
